Contact Administrator allows you to create contacts associated with your property or properties: gardeners, housekeeping, pool cleaner, reservationists, managers and more. Once set up, you can remotely delegate tasks to your nominated employees and contacts, communicating instantly with them to achieve a new level of efficiency.
If you have more than one property to manage or have staff or other people to help you, keep them in the loop using the Contact Administrator. Even if you have a single property which you manage with a partner or family member, this allows you to communicate with them and others while allowing limited access to specific areas of your Homes and Rooms service. Once you begin using Contact Administrator, you’ll notice the benefits to efficiency.
You decide access permissions
You decide which parts of the system people can access and what permissions they have to view and input. A reservationist, for example, could be given permissions to create and update reservations, accept payments and communicate with guests but might be denied access to profitability data and financial reporting. Or, a housekeeper could be given access to the reservations calendar, details of guest arrivals and departures to make sure that rooms are prepared in good time, and the ability to report cleaning status but no other access.
Setting up is easy
Setting up the Contact Administrator to your requirements is easy. When you first sign up with Homes and Rooms and complete the Configuration Wizard, you will be asked if you have ‘staff’ you would like to include. For example if you wish to include partners or family members in the communication loop, provide their names, email addresses, and allocate appropriate titles such as ‘co-owner’, ‘partner’ or ‘manager’.
You will also be asked to define access permissions for each role you create. You may give a partner full access, for example, while a housekeeper will have only limited access and limited permissions to view arrival and departure information. Think of it as an intranet where only the people you nominate have access and you decide how much or how little they see of your full operation.
Once registered with the service, you and your nominees can communicate remotely, securely and instantly from anywhere that has internet access – by computer, tablet or smartphone. Everyone that you want to be is kept up to speed and in the loop with the information they need to do their job.
Should you need to change your requirements in the Contact Administrator – for instance, if you take on a new member of staff, or wish to extend the access of a different member – simply revisit the Configuration Wizard via your Dashboard and make your amendments.
Contact Administrator is particularly exciting for anyone with more than one vacation rental property, for those requiring multi-user access to the service, and for those who rely on remote staff or contractors. You can delegate and still be in full control with a level of efficiency you may not have thought possible.
